Farm VAT

Terms of use

Last updated 13 October 2026

The short version

Farm VAT helps you keep your VAT records: you photograph receipts, it reads them, and you check and save the result. Keeping records by hand, looking at them and exporting them is free. Having receipts read for you is free for a set number of scans, and after that needs a yearly subscription. Farm VAT is a record-keeping aid, not a tax adviser.

Who we are

Farm VAT is run by Conor Donoghue, based in Ireland. These terms are the agreement between you and us for using the Farm VAT app and website. Questions go to hello@itsconchur.com.

Your account

You need an account to use Farm VAT. Keep your password to yourself; an account is for one farm business and isn’t to be shared or resold. You’re responsible for what is entered under your account.

The free plan

  • Adding records by hand, viewing and editing them, the VAT summary, the spray register and exporting reports are free, with no limit.
  • Every account also gets a number of free receipt scans. The app shows how many you have left. They don’t renew: once they’re used, scanning needs a subscription.
  • Running out of free scans never locks you out of records you’ve already saved. You can still see, change and export them, and you can still add records by hand.

The subscription

  • What it is: Farm VAT Annual, a one-year subscription that keeps receipt scanning available after your free scans are used.
  • Price: shown in the app before you buy, in your own currency and including any tax.
  • Renewal: it renews automatically each year at the price then current, until you cancel. Cancel at least 24 hours before the renewal date to avoid being charged for the next year.
  • Payment and cancelling: subscriptions bought in the iPhone app are sold and billed by Apple through your Apple Account. You manage or cancel one in your Apple Account settings, under Subscriptions. Deleting your Farm VAT account or the app does not cancel it.
  • Refunds: Apple handles refunds for purchases made through it, under its own terms.
  • If it ends: scanning stops at the end of the period you’ve paid for. Everything you’ve saved stays, and stays free to view, edit and export.

Fair use

A subscription is for one farm’s own paperwork. To keep the price where it is, there is a ceiling on how many receipts one account can have read in a day and in a month. It is set well above what a farm’s paperwork normally comes to, and we may adjust it. If you reach it, scanning pauses for a while; adding records by hand keeps working.

Check what it reads

Receipts are read by software and it makes mistakes: a faded total, a VAT rate printed oddly, a number misread. Every scan is put in front of you to check before it’s saved, and the figures in your records and reports are yours to verify.

Farm VAT doesn’t give tax advice and doesn’t file anything with Revenue. Check your figures against current Revenue guidance, or with your accountant, before you file a VAT return.

Your records

What you put into Farm VAT is yours. We use it only to provide the service, as the privacy policy describes. Revenue expects VAT records to be kept for six years, so export and keep your own copies; deleting a record or your account removes it from Farm VAT for good.

Keeping the service running

We work to keep Farm VAT available and your records safe, but it is provided as it is: it may be unavailable at times, and features may change. If we ever stop offering it, we’ll give you reasonable notice so you can export your records first.

We may suspend an account that is used to abuse the service, for example by automating scans or sharing one account between businesses.

Our responsibility to you

Nothing in these terms takes away rights the law gives you as a consumer. Beyond those, and as far as the law allows, we aren’t responsible for losses that come from figures that weren’t checked, from the service being unavailable, or from anything outside our reasonable control, and our total responsibility to you is limited to what you paid for Farm VAT in the twelve months before the problem arose.

Changes and the law that applies

If these terms change in a way that matters, we’ll update the date above and tell you in the app or by email before the change takes effect. These terms are governed by the laws of Ireland.
