Farm VAT

Privacy policy

Last updated 13 October 2026

The short version

Farm VAT keeps the receipts and VAT records you put into it, so you can find them and hand figures to your accountant. We don’t sell your data, show ads, or track you across other apps and sites. You can delete your account, and everything in it, at any time.

Who is responsible

Farm VAT is run by Conor Donoghue, based in Ireland, who is the data controller for the information described here. For anything about your data, email hello@itsconchur.com.

What we store

  • Your account: your email address and a password, which is stored only in hashed form.
  • Your farm details: farm name and, if you add them, address, VAT number, herd number and Professional User number.
  • Your records: each purchase or sale you save — supplier or customer name and VAT number, invoice number and date, category, amounts and VAT, notes, and any spray products with their PCS numbers.
  • Your receipts: the photos and PDFs you choose to upload, and the details read from them.
  • Your plan: how many receipts you’ve had read, and, if you subscribe, that you have a subscription and when it runs until. We never see or store your card details.
  • On your device: your sign-in session and a few settings, such as whether haptic feedback is on.

The app asks for your camera or photo library only to add a receipt, and only the receipt you pick is uploaded. We don’t collect your location, contacts or advertising identifiers, and we don’t track how you use the app. The one thing we count is how many receipts you’ve had read, because that is what the free plan is measured in.

What we use it for

To run the service you signed up for: signing you in, storing your records, reading receipts, working out your VAT summary, producing your reports, and applying your plan. Under the GDPR the legal basis is the performance of our contract with you. We don’t use your data for marketing or profiling.

Who else handles it

These companies process data on our behalf so the service can work:

  • Supabase stores your account, records and receipt files, in the EU (Ireland).
  • Vercel hosts the website and the server that reads receipts and builds your PDF reports.
  • Anthropic reads each receipt you scan: the image or PDF is sent to its Claude AI service to pull out the supplier, date and amounts. This processing may take place outside the EU, including in the United States.
  • Expo delivers updates to the mobile app, which involves your device contacting its servers.
  • Apple sells and bills a subscription bought in the iPhone app. Your payment details stay with Apple; we learn only that the subscription exists and when it renews or ends.
  • RevenueCat keeps track of whether a subscription is active. It receives your Farm VAT account identifier and the subscription’s purchase history, not your email, records or receipts. This processing may take place outside the EU, including in the United States.

We don’t share your data with anyone else unless the law requires it. Where data leaves the European Economic Area, it does so under the safeguards those providers offer, such as the European Commission’s standard contractual clauses.

How long we keep it

For as long as you have an account. Deleting a record removes it and its receipt file. Deleting your account removes your login, farm details, every record and every receipt file. Copies held in routine backups may persist for a short time before they are overwritten.

Deleting your account does not cancel a subscription bought through Apple. Cancel that in your Apple Account settings, under Subscriptions.

Irish Revenue expects VAT records to be kept for six years. Farm VAT doesn’t keep them for you after you delete them, so export what you need first.

Your choices and rights

  • See and correct your data in the app at any time.
  • Take a copy: the VAT report can be shared as a PDF or a CSV spreadsheet.
  • Delete your account: in the mobile app, go to Settings › Account › Delete Account, or on the web, Settings › Delete account. Or email us from the address on your account and we’ll do it for you. More about deleting your account.
  • You also have the rights the GDPR gives you to access, restrict or object to our use of your data. Email us and we’ll respond within a month.

If you’re unhappy with how we’ve handled your data, you can complain to the Data Protection Commission in Ireland at dataprotection.ie.

Children

Farm VAT is a business tool and isn’t intended for anyone under 16.
